Job Description

The Charter Services Coordinator is responsible for daily sales coordination, running reports, tracking payments and providing high-quality administrative and clerical assistance to all team members, while honoring Lux Bus America’s approach to business which starts with our commitment to safety, operational excellence, and customer service.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
Although additional duties and related tasks may be assigned, the essential duties and responsibilities of this position include the following:
? Assist department with day-to-day sales tasks
? Provide sales vs. projection results by preparing and forwarding sales tracking reports
? Maintain customer database by inputting customer profile and updates; preparing and distributing daily, weekly and monthly reports
? Review sales orders, ensuring payment, contracts and itineraries have been received
? Proof travel itineraries and contact information to ensure accuracy
? Oversee the day-to-day subcontracting process for the charter department
? Assist with inbound phone calls and email follow up
? Assist sales team with quote activities
? Develop and carry out an efficient documentation and filing system
? Respond promptly to managers’ queries
? Provide historical reference by developing and utilizing filing and retrieval systems, recording meeting minutes
? Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies
? Update job knowledge by participating in educational opportunities
? Ensure high levels of customer satisfaction through excellent sales service

Direct Supervisor: Charter Services Manager
Indirect Supervisor(s): VP of Business Development

SCHEDULE:
In light of the nature of the transportation industry, the Company does not maintain regular business hours. Your schedule may vary and be determined by the Company’s specific business needs. The Company does not guarantee any set number of hours or days; however, we anticipate a usual business workweek of Monday – Friday, with hours ranging between 7:00AM to 4:00PM. Schedules are subject to change and may require early mornings, evenings, weekends, holidays, or multiple-day shifts. Flexibility with the work schedule and the ability to work any shift assigned is required.

Education / Experience
? High school diploma or equivalent required
? 1-year administrative experience
There are no required certificates, licenses, or registrations.

Language Skills
Ability to read and interpret documents in English. Ability to write in English routine reports and correspondence. Ability to speak effectively before groups.

Mathematical Skills
Demonstrates strong general math skills such as adding, subtracting, multiplying, and dividing whole numbers, fractions, and decimals. Performs these operations with units of American currency, Regular and Military time, and imperial measurements of weight, volume, and distance.

Computer Skills
To perform this job successfully, an individual should have a working knowledge of the following software applications, and proficiency as indicated below.
Software: ? Microsoft Windows 7 or newer, or Apple OS 10.XX or newer ? Microsoft Office 2007 or Newer (Word, Excel, PowerPoint, Access, Outlook, etc.)
? iPhone or Android cellular phone and tablet PCs

Proficiency:
? Spreadsheet formatting (add rows/columns, borders, fill color, etc.)
? Spreadsheet formulas (SUM, IF, VLOOKUP, Pivot Tables, conditional formatting, etc.)
? Database queries with SQL, Crystal, VBA, etc.

Other Qualifications
Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals.
